But here’s the thing: sometimes, these little steps behind the scenes really matter. And registering for a USI? That’s one of those small-but-mighty steps that sets a student up for success in the Vocational Education and Training (VET) world.

As trainers and educators, we often spend our days juggling lesson plans, assessments, and supporting students in real-time. Helping someone register for their USI might seem simple – almost beneath you, if you have a stick up your butt… – but for a brand-new student, it can feel overwhelming.

There’s tech, there’s government jargon, and sometimes even a sneaky little identity check to get through. It’s not taught as part of the TAE because you have one…

Long story short: no USI, no paperwork. That’s why it’s important to help students register early – ideally during enrolment or orientation! 📋 What You’ll Need to Help a Student Register for a USI

Before jumping online, make sure the student has:

💳 A form of ID (like a Medicare card, passport, driver’s license, or even a birth certificate)
📧 A personal email address (not their work email or yours)
📱 A mobile number (for account security, but not essential)
💬 Permission to help them (if you’re creating it on their behalf)

Pro tip: their name on the ID must match what they enter during registration. No nicknames or typos!


👣 Step-by-Step: How Students Can Create a USI Themselves

Want to guide a student through creating their own USI? Here’s how:

  1. Go to the USI Student Portal
    👉 usi.gov.au
    Click “Create a USI.”
  2. Agree to the terms and conditions
    Nothing scary here – just standard privacy stuff.
  3. Enter personal details
    Full name (as shown on their ID), date of birth, and country of birth.
  4. Choose their form of ID
    Students must select one document (Medicare card is easiest!).
  5. Verify identity
    The system checks the ID with official databases. This usually takes seconds.
  6. Create security details
    Set up a password, choose security questions, and add recovery options like an email and/or mobile.
  7. Write down the USI
    Seriously – don’t skip this. Students should save it somewhere safe or email it to themselves.
  8. Share the USI with you
    Students can either give you their USI directly or log into their account and choose to share it with your RTO.

🙋 How to Create a USI On Behalf of a Student

In some cases, you may need to create the USI for them. That’s okay – but there are rules to follow.

Here’s what you’ll need to do:

  1. Get the student’s consent
    This can be verbal or written. Many providers include this in the enrolment form.
  2. Provide the Privacy Notice
    Let the student know how their data will be used.
  3. Collect a valid form of ID
    You’ll need to verify it through the Organisation Portal.
  4. Log into the Organisation Portal
    Use your RTO credentials to create a USI. You’ll need the student’s full name, date of birth, and ID details.
  5. Tell the student their USI
    Once it’s created, encourage the student to log in and set up their own password and security options.

🔍 What If the Student Has Forgotten Their USI?

It happens more often than you’d think! If a student can’t remember their USI, they can find it by:

  1. Going to the USI Student Portal
  2. Clicking “Forgotten USI”
  3. Choosing one of these methods:

    • Personal details + security questions
    • Personal details + ID document

As long as the info matches what they originally entered, they’ll get their USI emailed or texted to them.


🌍 What About International Students?

Here’s the deal with international students:

🧳 If they’re already in Australia and studying VET or higher education – they must have a USI
🛫 If they haven’t arrived yet – they can enrol without one but must create a USI after arriving in Australia

🛂 They’ll need:
